Background: The Association of African Universities (AAU) with funding from SIDA, sought the need for a digitised information management system to improve project management and data collection and management to provide information and knowledge for decision making. Though the AAU had a Monitoring, Evaluation, and Learning (MEL) System, it was at its infancy stage and performed limited functions.The MEL officers faced difficulties in synthesising reports from various programs and projects due to their inefficient methods of data and information storage using manual means.
Solution: To address these challenges, Bewsys audited the existing system which informed the user requirements and system functionalities to be supported by the new MEL system. Based on that, an online management information system was created to provide stakeholders with access to AAU Core Programs, program indicators, and evaluation reports. The reporting features on the web application also supported the improvement of monitoring of the implementation of project milestones by the universities.
Impact: With the aid of the functional digitised MEL management information system developed, the AAU’s capacity to enhance the quality and relevance of higher education in Africa has improved. The AAU is able to strengthen accountability and knowledge, information and data sharing for improved education management decisions in tertiary institutions across Africa while partnering for the attainment of the sustainable development goals particularly SDG 4 - quality education.
